2. Information Collected Automatically on Our Website

Like most websites, we automatically collect:

• IP address, browser type, and device information

• Pages visited, time spent, and how you arrived at our site

• Observations about group dynamics that help us improve program quality

Some Activities are offered in partnership with guest facilitators, co-hosts, or partner organizations.

When you register for a co-hosted Activity:

• Your registration information may be shared with the co-host or partner organization as needed to deliver the program

• Partner organizations have their own privacy policies, which we encourage you to review

• We will identify the partner at the time of registration or start of Activity so you know who will have access to your information

Consulting and Professional Services

When we engage as a consultant or contract facilitator by an organization, we may receive information about that organization’s staff, clients, or program participants. This may include names, contact details, and information shared during facilitated sessions or workshops.

This information is used solely to deliver the contracted services and is governed both by this Privacy Policy and any applicable services agreement or statement of work between us and the client organization.

When acting as a service provider to an organizational client, we handle their participant’s data on their behalf. We do not use that information for our own marketing or share it with third parties without the client organization’s authorization. If a participant independently opts in to our own communications such as subscribing to our newsletter directly, that consent is separate and governed by this policy.

Third-Party Booking Platforms

so we can fulfill your booking. This typically includes:

Third-party booking platforms have their own privacy policies that govern how they collect and use your information before passing it to us. We encourage you to review their policies. Once your information reaches us, this Privacy Policy applies. We only receive the information the booking platform shares with us as necessary to confirm and fulfill your registration. We do not receive your full payment details from booking platforms.

Once you purchase a digital product, your access and delivery information is retained for three (3) years for customer support and tax purposes.

If you purchase a digital product and later request deletion of your account, we may retain purchase records as required by law (typically 7 years for financial records) even if other personal data is deleted.

When you purchase physical merchandise, such as apparel, props, books, or other goods, we collect:

• Name, email address, and payment information

• Shipping address and any special delivery instructions

• Order history and tracking information

Your shipping address is used solely to fulfill and deliver your order. We share it with our shipping carrier(s) and fulfillment partner(s) as necessary to complete delivery. We do not use your shipping address for unrelated marketing without your consent. Order records are retained for three (3) years for customer support, returns, and tax compliance purposes. If you need to return or exchange an item, we will use your contact and shipping information to process the return.

Affiliates and Referral Partners

If you arrive at our website or programs through an affiliate or referral link, we may collect information about that referral (such as which affiliate link you used) to properly credit our affiliate partners. We do not share your personal information with affiliates beyond what is necessary to process the referral.

AI-Assisted Tools

We use artificial intelligence (AI) tools to assist with facilitation and program operations. This may include automated transcription, note summarization, or session support tools (such as Otter.ai, Fireflies, ChatGPT, Claude, or similar platforms).

When we use AI tools in a session or Activity:

• We will disclose this at the start of the relevant session or in your registration materials

• AI-generated transcripts, notes, or summaries are reviewed by our team before being used or stored

• AI tools we use are bound by their own privacy policies. We encourage you to review those policies (we will identify specific tools used upon request)

• Information processed by AI tools is handled with the same protections as all other session information under this policy

• We do not use AI to make automated decisions about your eligibility, fitness, or access to our programs

• We do not share your identifiable personal information with AI platforms for advertising, training their models, or any purpose beyond facilitating our sessions

Our use of AI is a support tool, not a replacement for human facilitation. Your information is not used to train third-party AI systems without your separate, explicit consent.

Group Activities: What You Need to Know About Shared Spaces

LifePractice Activities including in-person or virtual group coaching or facilitation, healing circles, yoga classes, retreats, masterminds, workshops, and conferences are shared spaces. This section is important. Please read it carefully.

Your Presence Is Not Private

When you attend any group Activity, other participants will be aware that you are a participant. By registering and attending a group Activity, you acknowledge and consent that your presence may be visible to others in that space whether in-person or virtual. This includes being seen on video in virtual sessions, appearing on an event roster shared with co-facilitators, or simply being present in a room with other attendees.

We encourage you to use your own judgment about what personal information you choose to share in any group setting.

What You Share in Group Settings Is Not Legally Confidential

Group sessions including coaching sessions, community or healing circles, retreats, and virtual cohorts are not confidential in a legal sense. Specifically:

• What you share in a group setting is not protected by therapist-client privilege, attorney-client

privilege, or any similar legal protection

• Seva Life Practice, LLC has no legal duty to maintain confidentiality over what you voluntarily share in a group setting

• Other participants hear what you share. We cannot control what they do with that information

• At co-hosted events and collaborations, guest facilitators and partners may also be present and will hear what you share

Think of group sessions the way you would a community circle or workshop: a space built on mutual trust and shared agreements, but not a legally sealed or privileged conversation. Share at the level of openness that feels right for you.

Our Community Agreements

We ask all participants to treat what is shared in sessions with care and respect. Our group agreements, provided at sign-up or the start of each session, include community norms around confidentiality and respect. However, these are community agreements, not legal guarantees. We cannot enforce confidentiality obligations on other participants.

Photography, Video, and Audio

At retreats, workshops, conferences, or any other Activity (in-person or online), photography, video, or audio may occur for documentation, marketing, or program purposes. We will notify you at the time of registration and again at the Activity, and you will have the opportunity to opt out. Your continued participation after notice constitutes your consent. If you do not wish to be photographed, filmed, or recorded, please notify us at registration, tell your facilitator, turn your camera off, mute your microphone, or inform event staff when you arrive and we will make reasonable accommodations.

Who We Share Your Information With

We share your personal information only as described here:

Service Providers

We work with trusted third-party vendors who help us operate such as payment processors, email platforms, scheduling and registration tools, video conferencing and ecommerce platforms, and AI transcription tools. These vendors may only use your information to perform services for us and are contractually required to protect it.

Co-Hosts and Collaborating Partners

For co-hosted or collaborative events, we may share registration and contact information with the co-hosting organization or guest facilitator as needed to deliver the program and related materials. We will identify these partners at or before registration.

Affiliate Partners

Affiliate partners receive only the information necessary to process referral credits typically

confirmation that a purchase occurred through their link. We do not share your personal details with affiliates for their own marketing.

Legal Requirements

We may disclose your information if required by law, court order, or government request, or when we believe disclosure is necessary to protect the rights and safety of Seva Life Practice, LLC, our participants, or others.

Business Transfers

If Seva Life Practice, LLC is acquired or merged, your information may transfer as part of that transaction. We will notify you before your information is subject to a different privacy policy.

With Your Consent

We may share your information for other purposes with your explicit prior consent. We do not sell, rent, or trade your personal information to anyone.

  • We require only the information that is reasonably required to enter into a contract with you. We will not require you to provide consent for any unnecessary processing as a condition of entering into a contract with us.

For further information on each of these rights (including the circumstances in which they may apply), see the guidance from the UK Information Commissioner's Office (ICO) on individual rights under the General Data Protection Regulation.

We hope that we can resolve any query or concern you raise about our use of your information. The General Data Protection Regulation also gives you right to lodge a complaint with a supervisory authority, in the European Union (or European Economic Area) state where you work, normally live, or where any alleged infringement of data protection laws occurred.

That said, no method of data transmission over the internet is 100% secure. We cannot guarantee absolute security, and by using our Activities you acknowledge this inherent limitation of online and digital communication.
